The Forum's Annual Conference 2026 builds on a fantastic 2025 event held in Canada (Toronto) for the first time! The 2025 conference saw a total of over 1,300 participants across in-person and virtual options and we hope to see this grow once more for a spectacular gathering in Nashville. Based on a typical conference year, we would see:

• 1,100-1,300 Attendees (in person)
  • with a 97% satisfaction rate and
  • 97.5% visiting the exhibit hall

​General Information

1. Purchases of sponsorship and exhibit tables will only be available to Forum members.
2. All sponsorships will be secured on a first-come, first-served basis via the online reservation form. (Note: No sponsorship reservations or requests will be taken over phone or by email.)
3. Each sponsorship level, item or exhibit table is brand-specific and can only be used to promote or represent one institution or organization. Promoting multiple brands must be done separately through the purchase of multiple sponsorship levels, items, or exhibit tables.
4. All logos should be sent to The Forum within 2 weeks of securing sponsorship.
5. All other files for the conference should be supplied to The Forum at least 6 weeks prior to the conference.
6. We aim to open sponsorship to former sponsors and exhibitors in June/July and other members in July/August.
7. Please note exhibitors MUST adhere to The Forum's guidelines on table set up. See below. 
8. Sponsorships and exhibit tables are non-refundable.
9. The Forum reserves the right to decline requests to sponsor or exhibit.

tables, displays and signage guidelines

• The Forum on Education Abroad’s Annual Conference Exhibit Hall is a tabletop exhibit hall setup.
• All displays and signage must fit on a 6ft table and in the area immediately around it.
• Two chairs with a tablecloth will be provided per table.
• Any electricity requirements must be discussed with the hotel directly.
• The Forum reserves the right to ask for any display, furniture or signage to be moved or removed if it blocks or inhibits another exhibitor in the area, or walkways and aisles.
• For your planning, there will not be pipe-and-drape around each booth.
• SIGNAGE IS NOT TO EXCEED THE LENGTH OF 4 FEET WIDE and 9 FEET TALL.
• Signage may not be hung in any manner from the ceiling or pipes/scaffolding of the ceiling.
• The tables provided may not be replaced with alternative set ups.
• Additional carpeting or other flooring will not be permitted. 
• Exhibitors are responsible for any signage displayed.
• The Forum staff are not permitted to help hang or erect any signage in the Exhibit Hall.

​How to Reserve

​The reservation process for securing sponsorship opportunities is automated and you must secure them through the online reservation form . Opportunities are claimed on a first come, first served basis, but must be confirmed with payment within 7 days of invoice.
​
If a limited volume item or table you are looking for is not present in the form it has been reserved, but we encourage you to consider other options.
Should deposit or balance invoices remain unpaid, or The Forum decline a request, items/tables may be reinstated for sale.
